Just a note to encourage you to complete your APR now. A review of all sites show quite a number with missing data. You can't advance to the next year on the database until you get the data cleaned up and the APR submitted. In the meantime, you will fall behind on this year's data. Additional comments on entering MAP Assessment data. First of all, we need to have this data entered for ALL students, not just the 30 day attendees. This will enable us to make group comparisons in our analyses. Second, if you have questions on this topic, you can contact me directly. The MAP Assessments are not state assessments so CitySpan set up their database to allow us to enter them, but not all of their staff are familiar with how we are going to use them. The assessment function is now set up to enter the MAP assessment data. There is a handout in the HELP section that provides directions on how to do this. You do not have to create the assessments -- this has already been done for you. You can enter the assessment data either "by student" which allows you to enter both math and reading scores for a student at the same time (this is faster I believe); or you can enter results "by assessment" (math or reading). You can decide if you want to start entering the fall assessment data right now, or wait until you have the spring data as well. The data to be entered is the RIT Score for math and reading (should be a 3-digit numeric value).

CLARIFICATION FOR TEACHER SURVEY: The teacher survey needs to be completed for each "regular attendee" which means a student reaching the 30 day participation level. If you want to do it for all your participants that is up to you.

Teacher Survey. There is a document in the "Help" section regarding the Teacher Survey -- the survey is actually already loaded in the system, so it is easy to use. You will need to enter the results for each student into the system. Our recommendation is that you start conducting your teacher surveys about April 1st. The formatting of the Assessment section will be done for everyone by CitySpan. Remember, we will only be entering the MAP assessment scores into this database. When it is completed, I will let you know and you can begin entering scores from the fall -- I would recommend doing that now rather than waiting for spring scores to arrive.

Please take the time to check some of your data for accuracy by running some of the report options. I have discovered a few problems in running administrative reports -- mostly related to how the group activities were set up. If you have multiple subjects entered for the same time period, you may end up with duplicate data relative to the number of service hours being delivered. Suggestion: If you are adding ID's with your student data, use the STARS system ID's that is used by the state. This most likely will prove useful in the future as we do more analysis with the accumulation of data. Note: ID is not one of the "required" fields for the APR, but will be useful for evaluation purposes.
